Registration
How do I register for the conference?

What is the cost of the conference?
The early-bird special is $419 until September 30, 2011 and $469 after September 30, 2011.
Is a Day Pass rate available?
Yes, the day pass rate is $299 for either Thursday, February 16 OR Friday, February 17.
Does the cost of the conference include the Pre-Conference Session?
No, the Pre-Conference session is an additional $125. This year, BSH is offering 2 separate Pre-Conference Sessions (click here for more information).
Does the cost of the conference include Site Visits?
Yes, the Site Visits are included in the cost of the conference. However, pre-registration is required. You can register for Site Visits when you register for the full conference.
Does Beyond School Hours offer group discounts?
Yes. We offer a discount of 10% for groups of 10 or more attendees. The discount will be applied automatically in the online registration process.
How do I pre-register for the Pre-Conference Sessions, Site Visit, and/or 21st CCLC Grantees Meeting?
You can pre-register for each of these sessions in the Agenda section of the Online Registration form.
Lodging/Travel
Do I have to make my own hotel reservation?
Yes. If paying by credit card go to https://resweb.passkey.com/go/foundationsinc to receive the special conference rate of $175.00 plus $1.25 travel fee and applicable taxes per night for a standard room.
No purchase orders can be taken after December 31, 2011. All hotel rooms must be booked with a credit card at the Hyatt's PassKey link: https://resweb.passkey.com/go/foundationsinc
What is the room rate?
The special BSH conference room rate for The Hyatt Regency San Francisco Airport Hotel is $175.00 plus $1.25 travel fee and applicable taxes per night for a standard room.
When is the deadline to make my hotel reservation?
The deadline to make all hotel reservations is February 1, 2012. However, space at the Hyatt Regency San Francisco Airport Hotel is available on a first-come, first-served basis.
Do I need to make my own travel arrangements between the airport and the hotel?

Does The Hyatt Regency San Francisco Airport Hotel accept tax exemption forms?
The Hyatt Regency San Francisco Airport Hotel offers tax exemption for qualifying non-profit California organizations according to the Hyatt's policy. It is the sole responsibility of the hotel guest to contact the Hyatt and provide applicable documentation to verify California tax-exempt status. Hotel reservations and room payment must be made directly to the Hyatt hotel in order to take advantage of any eligible tax exempt status.
Payment
What are the payment options?
We accept Visa, Mastercard, Discover, American Express, Checks, and Purchase Orders. If paying by credit card select the Registrant Type, Participant(s) – Credit Card payment. If paying by check or PO select the Registrant Type, Participant(s) - PO or Check payment.
What is the Purchase Order payment process?
In order to pay with a Purchase Order, a copy of the PO will need to be faxed to 856-533-1601 or emailed to BSH@foundationsinc.org – attention BSH – Accounts Payable. You can access your invoice by clicking on the invoice link in your confirmation email or by logging into www.regonline.com/bshxvconference and selecting "Invoice" in the left column.
What is the deadline to complete my payment?
No purchase orders can be taken after December 31, 2011. All registrations are due in full immediately. If paying by Purchase Order (PO) or check, payment is due within 30 days of your registration date or by December 31, 2011, whichever date comes first. New registrations made after December 31, 2011 must be paid by credit card or check.
Where do I mail my check?
Send payments to Foundations, Inc., 701 East Gate, Suite 300, Mt. Laurel, NJ 08054 , Attention: BSH - Accounts Payable.
Cancellations and Substitutions
What is the refund policy?
Registration is refundable (less a processing charge of $50) when written notice of cancellation is received by December 31, 2011. Registration can be canceled in one of two ways: (1) by logging onto your personal account on the registration page at www.beyondschoolhours.org (click "cancel" under your name) or (2) by emailing notice to bsh@foundationsinc.org and indicating your name, organization, and phone number in the body of the email. Cancellations received after December 31, 2011 are non-refundable; however, substitutions are welcome in lieu of cancellation anytime.
If I cancel my Beyond School Hours registration, does that automatically cancel my hotel reservation?
No. You will need to cancel your hotel reservation separately by visiting http://www.hyatt.com/hyatt/customer-service/faqs/canceling-changing-an-o.... All refunds for hotel rooms are subject to the rules and regulations set forth by the Hyatt hotel.
How do I register a substitute if I or someone from my group can no longer attend the conference?
You must log into your account on www.regonline.com/bshxvconference by clicking on the Already Registered link. Once you are logged in, click on Make a Substitute link located underneath your name if you are the only attendee or click on Substitute link in the Actions column if you are the primary attendee in a group. If you would like to indicate a substitute by phone, feel free to call Foundations at 888-977-5437.
Miscellaneous Questions
Can I bring my spouse and children/minors?
A spouse must register and pay the conference fee to enter conference sessions and related functions. Due to insurance liability issues, children/minors are not permitted to attend the conference.
How will I get my badge?
To obtain your conference badge you must check in at the Beyond School Hours registration desk on site at the Hyatt Hotel.
Do I have to wear my badge throughout the conference?
Yes, your badge must be visible throughout the entire conference to attend all of the conference features including sessions, workshops, site-visits, exhibit hall, receptions, panel discussions, etc.
Is there shuttle bus service?

What is the conference attire?
We encourage our attendees to feel as comfortable as possible. Most guests wear slacks and dress shirts.
